Find the person who can complete the institutional file

Before ordering more paperwork, ask your host: Which legal entity will support my application, and who can confirm its documents? A friendly invitation to serve and a complete institutional application file are different stages of preparation.

Five questions for your host or sending agency

1. Which entity is involved in Ecuador?

Record the full legal name, the contact responsible for paperwork and whether the sending agency and local host are the same entity. If they are different, ask who is coordinating between them. Avoid entering an informal project name where an official institutional identity is needed.

2. Which procedure are we preparing for?

Ask for the exact category name. “Missionary visa” may be used loosely in conversation. Put the selected procedure next to the checklist so everyone is working toward the same file.

3. Who can sign and obtain the supporting records?

Assign a named contact to each pending item and request an expected response date. If the contact does not know, record the question as unresolved instead of marking the file complete.

4. Does the description match your actual role?

Write a plain-language summary: what you will do, where, for whom and whether any activity is paid. Compare it with the agreement and planned support letter. Correct contradictions before translating the documents.

5. How is your support documented?

Identify who pays you or covers expenses and what written arrangement explains it. Use the support-income inventory if different organizations handle the assignment and payments.

A message you can adapt

I am preparing my Ecuador visa plan. Please confirm the legal entity that would support the application, the intended visa category, and the person responsible for the institutional documents. Please also confirm which records are available now, which remain pending, and how the proposed role and funding will be described. I would like to resolve any gaps before ordering further translations or submitting the application.

This is an organizational request, not a visa petition or a sworn declaration. A required legal document should be prepared for the specific facts and current procedure.
